Terms of use

Clear terms for using Trefna.

These terms apply when you create an account, access a workspace or use a Trefna product. If you use Trefna for a company, you confirm you have authority to accept them for that company.

Who we are and how to contact us

Trefna Ltd (company number 904246) is a private limited company registered in Scotland. Our business-correspondence address is 3F1 Third Floor, 3 Hill Street, Edinburgh, EH2 3JP, United Kingdom.

The service

Trefna provides software for Project Management and Trade Management. Features may change as the service develops, provided we do not deliberately remove paid functionality without a reasonable reason or notice where practical.

Trefna is a tool for recording, organising and presenting information. Customers remain responsible for the accuracy of the information they enter and for the commercial, operational and tax decisions they make using it.

Accounts and access

Accounts are personal. Keep passwords and sign-in links private and do not share a login between people. Workspace administrators are responsible for deciding who they invite, the permissions they give and for reviewing access when a person’s role changes.

You must not attempt to bypass permissions, access another person’s workspace, probe the service for vulnerabilities or interfere with normal operation.

Subscriptions, trials and payments

Prices, billing frequency, included seats, any free trial and the next payment date are shown before checkout or in the subscription area. A trial does not create a right to repeated free periods by changing plan or cancelling and rejoining.

Payments are processed by Stripe. Subscriptions continue until cancelled in the billing area, subject to the plan details shown at checkout. Changes to a plan, seats or eligibility for a product discount take effect as shown at the time of the change.

Beta access

Beta access may be granted without charge for a stated period. Beta features can change, be withdrawn or contain faults. Please do not rely on a beta workspace as the only record of critical business information, and send feedback through the product support route.

Customer information and project access

Customers keep responsibility for their own workspace information. Trefna does not claim ownership of customer project or Trade Management information.

Trefna only accesses a customer project for support when the customer grants access for a stated request. See the Privacy Notice and Security & access page for how this is controlled.

Tax, forecasting and professional judgement

Trefna does not submit tax returns to HMRC, calculate tax owed, provide accountancy advice or determine whether an expense is allowable. Trade Management records are an organisational starting point for the user, their accountant and official HMRC guidance.

Project forecasts, cost-to-complete, invoice timing, margin and commercial change information are planning tools. They are not a substitute for professional, commercial, legal, tax or financial judgement.

Professional Services

Software subscriptions and separately agreed Professional Services are different products. Implementation, data-entry assistance, forecasting support, training and commercial-change assistance are only provided when scope, availability, price, timing and responsibilities have been agreed in writing.

Suspension and ending access

We may suspend or restrict access where reasonably necessary to protect the service, address a security issue, investigate misuse, deal with non-payment or comply with law. Where practical, we will explain the reason and give a route to resolve it.

You can stop using Trefna at any time. Before cancelling a paid workspace, export or retain the records you need and contact support if you need help understanding the available options.

Liability

Nothing in these terms excludes liability that cannot lawfully be excluded. Subject to that, Trefna is not responsible for indirect loss, lost profits, lost opportunity or decisions made from customer-entered information, forecasts or tax records.

The service is provided with reasonable care, but internet services and third-party providers can fail. Customers should keep appropriate copies of important records and maintain their own business continuity arrangements.

Changes and governing law

We may update these terms to reflect changes to Trefna, law, security or the way we provide the service. The latest version is published here. Material changes to paid terms will be communicated where reasonable.

These terms are governed by the law of England and Wales, unless mandatory law gives you different rights.
